Job Description

  • Ground Transportation: New Accounts, Central Billing & VIP Program
  • Rental Car: Oversee accounts, approve invoices, distribute rewards
  • Travel Agency - manage requests, billing, etc.
  • Concur Support: QC and test updates and enhancements, rule audits, clear zero balance accounts, audit hotel rates, etc., review unsubmitted T&E reports
  • Ad hoc support : T&E audits, contact List Maintenance, Hotel QRG, Web Updates
  • Create weekly Employee Termination reports for American Express

  • Scheduling and coordinating meetings and conference calls
  • Calendar management and meeting confirmation
  • Answering phone calls and taking detailed messages
  • Handling travel arrangements both domestic and international
  • Creating and submitting expense reports
  • Ordering and maintaining office supplies
  • Provide general office support, including, word processing, file maintenance, and special projects when needed.
  • Contract Administration: Submit legal request for review on database & obtain signatures.
  • Invoice Processing
  • Recruiting Agreements: Draft initial contract based on template & maintain spreadsheet and binders
  • Create receipts for PO's
  • Manage Seamless Web
  • Field requests for restricted items/special requests from office supply vendor
  • Follow up on match exceptions between POs and invoices
  • ePro approval matrix - review for terminated employees

The Successful Applicant

  • 1-3 years of office experience preferred.
  • 4-year college degree preferred
  • Must have proficient knowledge of Microsoft office: Outlook, Word, Excel and PowerPoint

Desired Experience/Skills:

  • Excellent communication, organization and administrative skills with strong attention to detail
  • A positive, professional attitude is key, along with a flexible approach to work
  • Highly motivated and proactive individual who is capable of working on their own initiative
  • Ability to deal with confidential data and documents. Discretion is very important
  • Experience using Concur preferred
