About Our Client

My client is a highly established, prestigious investment manager within the financial services space. This role is intended for someone who is highly experienced in a C-level support role and can maintain the utmost level of discretion and confidentiality. This person must be eager to take initiative and will be comfortable completing projects, large and small, without need for constant direction and with consistently outstanding outcomes. Someone who is truly engaged, smart, and proactive will do well here. In this role, the EA will be representing this Executive and his office. This means that confidence, polished communications skills and professionalism are a must. This person must be a gatekeeper and feel comfortable speaking with high profile people, both inside and outside of the firm. At the same time, this individual must be able to maintain a calm, assured demeanor even operating under significant pressure and with unforgiving time constraints. The right person can move quickly up the learning curve, becoming a knowledgeable, valued member of a dynamic team in a short period. He/She is passionate about being in a support role and wants to learn the business and take on additional responsibilities whenever possible. Hours: 8:00am/8:30am-6:00pm (with overtime as needed)

Job Description

* Serving as the gatekeeper to this executive in person, over the phone and via e-mail * Answering incoming calls, often with extensive interaction and engagement to ensure this executive is fully informed of matters being addressed before follow-up * Interacting with and addressing the sometimes highly time sensitive needs of very senior people * Managing expense reports via Concur * Heavy and ever-changing calendar management in Outlook; scheduling internal and external meetings * Booking extensive domestic travel and international travel * Managing expense reports via Concur * Assist with various office management duties, department support, and other ad hoc projects * Make copies, fax or scan documents, send packages, etc. * PA work - liaising with family and family office Skills & Requirements: * 7+ years of experience in a support role * Must have significant experience directly supporting a top c-suite executive (CEO, CFO, COO) * Excellent knowledge of MS Office including Word, Excel and Outlook * Experience managing a hectic and fluid professional calendar, often on extremely short notice * Experience booking domestic and international travel * Ability to Multitask

The Successful Applicant

* Minimum of a Bachelor's degree required * Strong communicator, both written and verbal * Comfortable with a 24/7 mentality as the Executive Assistant will be expected to make him/herself available if needed * Must be worldly and can hold an intelligent conversation with all senior levels * Consistently pleasant and warm personality regardless of the nature of any given interaction * Understated confidence; unflappable even under extreme pressure * Extremely strong follow through skills * Curiosity and ability to gain a fundamental understanding of the firm, its business and the asset management sector * "Go with the flow" attitude - there will be times when priorities will shift * Approachable, self-aware; a calming influence * Able to prioritize tasks; works well under pressure * Detail-oriented * Unquestionable integrity and discretion; outstanding judgment
