About Our Client

Based in Concord, MA our client has a strong focus in the consumer products space selling its goods through both brick and mortar as well as e-commerce channels. It is current poised for increased growth with its new product lines that are launching in 2017 and beyond. They are targeting someone that can be a strong HR Program Manager and also work extremely closely with the CEO on other projects in departments such as Supply Chain, Purchasing, Marketing, Finance, and others.

Job Description

The Executive Assistant to the CEO will work closely with the executive leadership team, others internal to the firm and other outside parties on specific or relevant tasks and projects. The Executive Assistant to the CEO will assist in planning, supporting, monitoring and tracking of daily CEO activities, firm Board and committees, customer and outside board interactions, and business strategic initiatives. Collaborating frequently across multiple functional areas within the organization, the Executive Assistant will work in partnership with the CEO to advance his key organizational goals. The successful candidate requires discretion and complete confidentiality and must ensure that internal and external communications are handled in a professional manner. This position requires some travel for Board and Management meetings.

* Proactively plans with CEO to ensure personal, company, and business goals and commitments are achieved.
* Ensure CEO is prepared for upcoming commitments and responsibilities, following up appropriately.
* Interface with the executive leadership team on key initiatives and provide tracking of deliverables and milestones.
* Support daily email by reviewing, filtering and prioritizing. Bring important items to CEO's immediate attention. Draft and edit email to handle as much as possible to leverage the CEO's time.
* Build relationships, work professionally and interact with executive leadership, company employees, external organizations and/or their board of directors.
* Responsible for identifying project requirements, preparing schedules, managing and/or preparing project deliverables and costs.
* Perform assignments as required in the daily operations of the group.
* Work collaboratively and use initiative to advance and ensure pending matters are completed with high quality in a timely manner.
* Assist in development of meeting agendas, presentation materials, deliverables, minutes and follow-up items.
* Take a proactive role to increase productivity and efficiency.
* Align CEO goals with incoming requests to effectively plan ahead so key goals are met first.
* Liaise with the CEO's team on any issues/opportunities and action to be taken as required.
* Prepare and manage internal and external communications such as memos and presentations from the CEO.
* Work with CEO's team to ensure accurate scheduling.
* Ad hoc projects as requested.

  • Proven time management skills with the ability to manage multiple projects with conflicting deadlines in a fast-paced work environment keeping focus on the priorities.
  • Excellent communication skills with internal and external staff, clients, board and stakeholders.
  • Understands how to separate and combine tasks into efficient work flow.
  • Excellent writing skills with impeccable grammar cognition.
  • Requires the ability to listen to complex and or technical discussions and provide a concise summary of all pertinent data.
  • Fluency in Outlook and Microsoft Office Suite
  • Excellent spreadsheet management skills using Excel (including creation of spreadsheets), excellent proficiency in Outlook, Word and PowerPoint
  • Proficiency in Adobe and Sharepoint
