My client is a global financial services institution located in Chicago, Illinois. They seek a skilled Executive Assistant to support the MD.

Job Description

Roles and Responsibilities: The Executive Assistant will handle a wide variety of situations and tasks involving administrative functions of the office to include, but not limited to: * Organizing meetings and events, executive briefings. * Creating and distributing agendas and meeting minutes, and advising on status of action items. * Summarizing the content of incoming materials or meetings; coordinating new information with background office sources; and drawing attention to important information or conflicts and may make recommendations on such. * Establishing appointment priorities, or rescheduling appointments or invitations. * Proofreading outgoing correspondence for Directors approval and alerts to any conflict with the file or departure from policies; gives advice to resolve the problem. * Understand organizational policies and procedures necessary to ensure appropriate decision-making protocols are followed. * Handling confidential information in a professional and discreet manner. * Reviewing, redirecting as needed and daily management of incoming email and postal mail. * General administrative support including phone support, maintaining and prioritizing calendars and schedules, greeting guests, coordinating travel and preparing expense reports, faxing, copying, taking meeting notes, coordinating new employee and guest environments, document management and records retention, all areas of office management for the team, etc.

The Successful Applicant

Requirements: * Bachelor's degree preferred. * 8-10 years of professional administrative support experience * Experience supporting 3+ senior level managers * Demonstrated strong organizational, project management, and time management skills, including ability to successfully manage multiple projects, workflows, and competing priorities. * Outstanding verbal and written communication skills, including ability to interface in a professional, cordial manner with senior management and staff. * Ability to demonstrate discretion in handling confidential data and dealing with high-level executives. * Experience with coordinating cost-effective travel and meeting arrangements. * Ability to independently carry-out multiple tasks from start-to-finish with the aptitude to anticipate and prioritize what needs to be done. * Sophisticated knowledge of Microsoft Office and Outlook, spreadsheets, databases, and presentation software. * Pickup phones, arrange travel, input expenses, scheduling + other misc.
