About Our Client

Our client has 12 offices worldwide and is a leading investor in growth markets across Africa, Asia, and Latin America. Having just opened a permanent office in New York City in June 2015, it is the firm's only office in the United States. They leverage its presence in New York in support of building and managing its relationships with investors in the Americas.

Job Description

Responsibilities include:

  • Coordinating extensive and complex international travel, including preparing detailed itineraries, often working with a network of EA's from other offices
  • Organizing logistics around investor meetings and conferences
  • Ensuring that appropriate documentation and/or briefings for meetings, including video and telephone conference calls and presentations for each day's schedule is supplied in advance
  • Telephones - dealing with internal and external calls, answering queries, taking messages, arranging conference calls and covering other EA's phones and leave periods
  • Extensive schedule management
  • Proactive monitoring and management of incoming and outgoing emails and flagging as required
  • Maintaining contact information and investor profiles in the internal CRM system
  • Assisting with organizing and planning due diligence events
  • Invoice processing and reconciling expense claims in a timely fashion and adhering to policy
  • Printing and binding meeting materials
  • General office management duties
  • General administrative/PA support to the team

The Successful Applicant

  • Strong PA/EA experience, preferably in the financial services industry
  • Experience preparing materials for meetings and organizing investor roadshows a plus
  • Experience and comfort working within an international firm
  • Self-motivated with an ability to work in a small office environment under tight time lines
  • Event planning experience a plus
  • Educated to degree level
  • Excellent attention to detail and organization skills
  • Committed, loyal and flexible
  • Commercial awareness and business judgment
  • Strong ability to prioritize
  • Ability to be discreet and maintain confidentiality
  • Demonstrable intellectual curiosity and research skills
  • Highly competent with Microsoft Office Outlook and Word
  • Strong communication and interpersonal skills
  • High level of motivation, integrity, energy and enthusiasm
  • A self-starter who can act independently and anticipate needs
  • A confident 'can do' attitude
  • Team player who has the ability to deal confidently with people at all levels
