Job Description

HR Junior Generalist Primary Responsibilities:

  • Performing basic HR administrative tasks in cooperation with payroll and benefits broker, Paychex, regarding benefits coordination (enrollment and/or status changes) as well as distributing payroll checks
  • Liaising with Paychex HR Generalist with annual compliance testing and reporting requirements regarding 401(k) plan
  • Supporting US staff with generic benefits-related inquiries
  • Coordinating and executing all travel-related activities (foreign and domestic) for US staff as well as UK-based employees visiting the US
  • Handle office communications; preparing and disseminating documents, guidance notes and staff information as required
  • Organizing annual and sponsorship events in partnership with holding company
  • Conducting diary management to include scheduling internal/external meetings, calls and conferences, and sending Outlook calendar invitations to participants
  • Arranging or facilitating internal/external meetings and conferences (e.g. sign up logistics, dealing with associated invoices, booking rooms and/or facilities, and collating necessary documentation)
  • Pro-actively managing calls including ensuring detailed communications are accurately recorded and/or passed on
  • Preparing and processing Travel & Expense reports for employees and partners as well as obtaining appropriate signatures for approval including monitoring of office equipment/supplies
  • Providing support to cover for other Team Assistants when required, and ensuring that any such cover arrangements are clearly communicated to Partners and staff
  • Conducting general office administration; processing expense claims and invoices by office vendors, copying, scanning, faxing, mail distribution

The Successful Applicant

Successful applicants will possess the following characteristics:

  • Demonstrable experience working in a similar role or HR function
  • Business and professional services experiece strongly preferred
  • A high level of professional discretion while dealing with confidential/personal information
  • Excellent communication and organizational skills - the candidate will need to liaise with internal & external parties at all levels
  • Ability to work under pressure while maintaining a highest attention to detail
  • Basic knowledge of employee benefits and 401k retirement plans
  • Must be proficient in Outlook, PowerPoint, Excel and Word
