Global Asset Management company is in need of highly presentable, detail-oriented Administrative Assistant who can assist the IR team.

Job Description

  • Assists in the maintenance of contacts, investors, consultants and affiliated parties' information in Salesforce, Investor Connect and other team files.
  • Assists in handling routine requests from investors that may require coordination with internal teams, e.g., audit confirmation requests
  • Assists in planning and executing events and hospitality including conferences, investor briefings, roundtables and logistics for global due diligence meetings
  • Provide comprehensive administrative, project specific and general office services to support the activities of the Global Investor Relations Group North America.
  • Contribute to the overall effective operation of the company by delivering a consistently high standard of work in a timely manner.
  • Provide support in maintaining Salesforce, contacts, call reports, etc. and contacts/permissions in Investor Connect.
  • Conduct client calls to synchronize/update information in Salesforce as part of continuing data clean-up project
  • Assist in arranging logistics for the quarterly Investor Briefing and other client facing touch points
  • Assist in conducting client calls to gather information for specific projects, e.g., tax information gathering, feedback on client events, follow up on client responses, etc.
  • Provide a professional and comprehensive administrative support service attending to regular and ad hoc activities.
  • Attend to general office requirements as identified or regularly required such as merging of investor letters and other communications.
  • Provide support services to any other nominated employees or groups.
  • Assist in preparation of pitch books and other presentation materials (proofing, binding and distributing).
  • Arranging travel and expense reporting.
  • Coordinate internal and external client meetings
  • Coordinates administration of work group projects
  • Plans business trips and associated details
  • Plans own work and assists senior staff in organising and completing their work
  • Applies proficiency in software such as Excel, word processing, Salesforce

The Successful Applicant

  • Extensive experience in administrative support in a corporate environment.
  • Extensive experience in interfacing with clients in an administrative capacity
  • Extensive experience in managing projects that require great attention to details
