Job Description


* Plans and reviews financial, board, regulatory, and status reporting for accuracy and adherence to SEC and IRS requirements, client agreements and internal policies.

* Maintains and prepares accurate daily/weekly/monthly fund reports.

* Compiles quarterly reports from various sources utilized by Board Members.

* Reviews and approves various weekly, monthly and quarterly internal reports.


* Interacts with rating agencies by releasing portfolio holdings, answering surveys, or providing fund information.

* Utilizes Confluence to monitor fund performance and answer fund-related questions.

* Reviews financial statements prepared by fund administration team, including NQ Reports, NSAR Reports, NCSR Reports, and 24f-2 Reports.

* Reviews fund expenses, such as management fees and 12b1 fees, to be billed to client according to contracts.

* Prepares and maintains budgets for various funds.

* Calculates monthly management fees for each fund and secures authorization from appropriate party.


* Manages relationships with client companies, ensuring timely resolution of requests and high quality of customer service.

* Acts as an escalation point for escalated issues and complex problems; resolves where appropriate in order to provide effective support.


* Manages employees within department including but not limited to hiring, training and developing employees, delegating work assignments, writing and conducting performance appraisals, salary recommendations, coaching and counseling, and administering corrective actions.

* Provide training to Fund Administration team.

* Conducts one-on-one meetings with employees on a regular basis


* Coordinates and oversees annual audits with outside auditors, clients and printers.


* Seeks, identifies and implements opportunities to amend processes and procedures to improve operational efficiency and quality of service in department.


* Completes and distributes monthly compliance checklist to compliance/tax team in order to review compliance with 1940 Act, IRS and prospectus rules and regulations.

* Performs compliance monitoring and reporting on each fund; reports findings to compliance/tax team and/or client if exceptions are found, and researches exceptions following-through until resolution. May perform other duties as required and assigned.


* Regular contact with clients, auditors and 3rd party vendors regarding fund performance-related questions, reporting, audits etc.

The Successful Applicant


* Knowledge of SEC, IRS, and general ledger accounting requirements and laws as they apply to investment companies, Trusts, Partnerships and other fund structures

* Ability to learn financial reporting and performance systems

* Ability to multi-task while maintaining careful attention to detail

* Ability to react well under pressure and manage difficult or emotional customer situations

* Ability to act with professionalism and diplomacy when communicating with a customer

* Ability to troubleshoot issues utilizing creative and critical/analytical thinking skills

* Ability to work effectively both individually and within a team environment

* Ability to work with a sense of urgency to meet deadlines and address competing priorities

* Ability to manage, lead, inspire, direct, motivate, and develop a team of employees

* Proficient with Microsoft Office software including Word, Excel, PowerPoint and Outlook

* Strong financial reporting, regulatory compliance and tax skills

* Strong written, listening and verbal communication skills, as well as effective telephone skills

* Effective problem solving, time management and organizational skills


* Minimum of a Bachelor's degree in Accounting or Finance required


* Minimum of 5 years of Mutual Fund Administration or Mutual Fund Accounting experience required

* Minimum of at least 1 - 3 years of management/leadership experience preferred

* Experience working within financial services industry preferred

* Experience with financial statements preparation related to mutual funds preferred
