About Our Client

Our client is seeking a high energy, customer service oriented individual to maintain their internal Chicago office operations and support the executive team on a daily basis in a variety of functions.

Job Description

  • Communicate and represent the company, values and culture,
  • Assist in managing the executive team's calendars, schedule appointments, conference calls, while handling meeting conflicts
  • Serve as the central point of contact for Chicago office; managing the day-to-day operations and serve as the main go-to for office related tasks
  • Ensure office is stocked with supplies, food and services
  • Arrange and manage all aspects of travel both including airfare, hotel, ground transportation, itineraries for executive team and outside parties
  • Support accounting team with bookkeeping tasks
  • Provide support to payroll processing
  • Greet guests and answer the main phone line
  • Create management and board meetings decks as needed
  • Align with hiring managers on recruiting needs and support the hiring process as requested
  • Receive and track employment agreements; Prepare and mail onboarding materials to new hires
  • Coordinate new hire benefits orientation and follows-up with new hires to retrieve outstanding forms
  • Cultivate and apply strong organizational and interpersonal skills, including the ability to juggle multiple assignments and cope with stressful situations
  • Work on special projects as needed
  • Deal with highly confidential/sensitive information regularly
  • Send all follow up emails/thank you gifts as needed on behalf of the client and executive team
  • Provide thought leadership on key culture-creation initiatives between Chicago and international offices

The Successful Applicant

  • Bachelor degree is required
  • 1+ years of prior Executive Assistant/Office Manager experience preferred
  • Strong work ethic, highly organized, with a strong attention to detail
  • High energy, a positive attitude and strong customer service skills
  • Capable of handling multiple assignments simultaneously
  • Excellent computer skills including MSWord, Excel and PowerPoint
  • Proven ability to be solutions-oriented and resourceful
  • Experience handling confidential and sensitive information

What's on Offer

Our client has excellent offices on Michigan Avenue and is looking to pay $45,000 - $55,000. This will be interviewing on the week of teh 21st at Michael Page's Offices.
