Job Description

Summary
The Payroll Specialist manages the weekly payroll process using ADP for the main location with multiple union contracts, as well as the semi-monthly payroll for salaried employees.



Payroll Specialist Job Duties:

  • Manage and guarantee weekly (hourly) and semi-monthly (salaried) disbursement of multi-state payroll, including garnishments, benefits and taxes to approximately 650 employees consistent with federal and state wage and hour laws as well as multiple labor union agreements
  • Update payroll records by reviewing and approving changes in exemptions, insurance coverage, and savings deductions
  • Ensure the processing of new hires, transfers, promotions and terminations is accurate and timely
  • Assist in completion of the currently in-process transition of time and attendance tracking to the ADP Enhanced Time system
  • Audit W-4s, payroll balance sheets, YTD earnings, etc.
  • Ensure systems are set-up and updated to reflect our current employee base, including wages, benefits, sick and vacation time in line with contracts (union and non-union)
  • Generate reports as needed for Government surveys, ACA reporting, and Management reporting
  • Maintain employee confidence and protect payroll operations by keeping information confidential.
  • Comply with federal, state, and local legal requirements by studying existing and new legislation; enforcing adherence to requirements; advising management on needed actions.
  • Balance the payroll accounts by resolving payroll discrepancies.
  • Provide payroll information by answering questions and requests.
  • Maintain payroll guidelines by writing and updating policies and procedures.

The Successful Applicant

  • Working knowledge of payroll software package, preferably ADP
  • Proficient at MS Office (especially Excel)
  • Working experience of payroll tax at the federal, state and local levels
  • Must be a team player
  • Must be highly organized
  • Ability to interpret Union Contracts, a plus
