Job Description

Main Duties

  • Provide administrative support specifically within Recruiting and Graduate Development
  • Process and track expense reports, invoices, and reconcile credit card statements monthly for all team members
  • Coordinate/schedule catering, a/v, facilities arrangements for in-house events
  • Organize and maintain appointment calendar using MS Outlook, schedule meetings and conferences
  • Coordinate and arrange travel including preparing detailed travel itineraries, flight, hotel, and ground transportation
  • Prepare letters, name tags and sign-in sheets
  • Answer, screen and route telephone calls; respond to inquiries, as needed; take and deliver accurate, detailed messages
  • Create and maintain files

The Successful Applicant

Essential:

  • Solid knowledge of MS Outlook, Word, Excel and PowerPoint



Preferred:

  • Exhibits strong organizational skills and attention to detail
  • Excellent verbal and written communication skills
  • Confidentiality and a professional demeanor
  • Must have demonstrated ability to coordinate travel arrangements, maintain calendars/schedules, manage expenses and handle a high volume of inbound/outbound calls for a team of 20+ people
