Job Description

The Trade Compliance Specialist will be responsible for coordinating and managing the company's import/export processes and procedures in compliance with all trade legislation and reporting requirements. The Trade Compliance Specialist will be responsible for the quote process of rates and communication with freight forwarders and customs. The Trade Compliance Specialist ensures that the company and the clients comply with corporate import and export policies and Customs regulations while enabling execution of critical supply chain processes. The Specialist will also be responsible to ensure the company complies with all US Government Import and Export requirements.

DUTIES AND RESPONSIBILITIES:

  • In case of product availability problems, sets priorities in close cooperation with Customer Service and Import & Distribution Planner.
  • Informs Customer Service and Import & Distribution Planner if delivery date can not be met.
  • Processes export, hazmat, shipping and NAFTA documents for sales orders and sample orders.
  • Interfaces with freight carriers and customs brokers.
  • Quotes (air) freight rates.
  • Must successfully complete appropriate D.O.T. Awareness and Shipping Paper training
  • Preparation of the Shipping instruction and send to shipping line for making the BL.
  • Preparation of Pre-shipment and Post-shipment documents.
  • Arrange Liaising/Communication with Freight Forwarder / Customer / Supplier to guarantee all necessary documentation/information are correct.
  • Coordinate/Communicate/Dealing with Transporter, Freight Forwarder and Shipping Companies for negotiation the freight rates and other communication.
  • Active member of the domestic and global freight procurement teams and will work closely to assure the freight agreements are met by our preferred carriers and forwarders.
  • Will have working knowledge of US trade compliance including import and export compliance, ITAR, NAFTA, Other free trade agreements, Made in the USA rules, Harmonized tariff rules.
  • Manage the Export/Import Compliance Program and the associated database and will be responsible for formulating and enacting a formal training program.
  • Act as operational focal point and provide advice to cross-functional peers.
  • Conduct internal and external compliance monitoring and periodic audits.
  • Manage C-TPAT certification and assure that all approved locations follow the requirements of holding that document.
  • Handing problems relative to import/export like customs, shipment and etc.
  • Handling Third countries import/export procedure.
  • Checking import/export documents and confirmation to customer/supplier.
  • Arranging survey for inspection of goods when necessary.
  • Arranging Local Transportations from port to warehouse when necessary.
  • Coordination with customer/supplier for giving/getting material status of the shipments, giving/getting the vessel schedules, status of shipping documents and other communication.
  • Coordinate with buyer and getting the approval for shipping documents.
  • Coordinate clearance import/export goods from customs.
  • Coordination with factory for getting material status and accordingly plan the shipments.
  • Responsible for checking of ISF, L/C's received from the buyers for the shipment so that the all shipments were dispatch on time.
  • Maintaining the chart of shipments to avoid any mistake that could create any problem for the company.
  • Preparation of Invoices & Packing list against the L/C / PO's received.
  • Manage movement of cargo, clearance & tracking of Consignments on SOB, Transportation shipments, etc to Consignee.
  • Preparing the shipping documents.
  • Prepare & present periodic reports for the management in order to provide relevant information.
  • Arranging the import/export insurance when necessary.
  • Work with Supply Chain to determine root cause for delivery performance/back order issues.
  • Willing to travel national and international.

The Successful Applicant

  • Minimum of a Bachelor's degree with focus on Logistics, Supply Chain and/or Trade Compliance.
  • Preferred candidate will hold a current US Customs Broker License
  • 5-10 years of experience in Logistics and/or Trade Compliance.
  • Experience with international import and export transport and associated regulations a plus.
  • Experience in Excel, Word and Outlook. SAP experience is preferred.
  • Must be proficient in critical thinking and problem solving skills and be able to collaborate with internal and external customers and service providers.
  • Excellent written and oral communication skills, must be able to communicate to all levels of an organization.
  • Strong organizational skills.
  • Ability to listen to internal and external customers and understand needs, following up in a timely manner.
  • Work independently but in cooperation with other internal departments.
  • Able to lift 25 lbs., reach height of 6' for filing and bend to reach objects at floor level.
