Job Description

Billing:

  • Generate client invoices for billing attorneys, taking a lead role in rectifying time/cost errors and ensuring billing accuracy and punctuality.
  • Contribute to the creation and upkeep of matter budgets, plans, and status reports, and participate in the annual rate change process.



E-Billing:

  • Execute, document, and troubleshoot e-billing procedures for a designated client group.
  • Manage data collection for e-billing matter setup and ongoing maintenance, including support for timekeeping and billing rate setup and approval.
  • Enhance the firm's e-billing processes by proposing and implementing improvements.



Master Files and Time Gathering:

  • Handle time-sensitive master file tasks, such as client and matter address setups, UDF configurations, and other critical elements.
  • Facilitate time gathering for specific clients, streamlining the transfer of time from Carpe Diem to Elite.



Client Account Support:

  • Oversee the complete billing and collection lifecycle, from printing and distributing prebills to working with attorneys on finalizing bills and pursuing collections.
  • Familiarize yourself with billing rate structures, check rates, and guidelines, coordinating processes from engagement to collections through effective negotiation.
  • Conduct thorough invoice reviews, ensuring compliance with e-billing requirements, and respond to client inquiries.
  • Provide analysis, research, and monthly billing and collections forecasts for assigned portfolios.
  • Assist in managing client trust accounts and on-account billing.



Communication and Collaboration:

  • Cultivate and sustain internal and peer-client relationships.
  • Establish and maintain external client relationships, communicating billing and collection arrangements succinctly.
  • Develop robust backup support processes to ensure seamless portfolio assistance.

The Successful Applicant

  • A minimum of four years of billing experience in a law firm, preferably a large one, is essential.
  • Proficiency in intermediate Excel skills is mandatory.
  • The candidate should possess the capability to comprehend and analyze billing information and historical data, demonstrating strong attention to detail and the ability to precisely follow instructions.
  • Effective and tactful communication with individuals across all levels, both within and outside the firm, is crucial.
  • The ideal candidate must exhibit excellent organizational skills, the ability to independently prioritize tasks, and adeptness in working under pressure to meet deadlines, even in stressful conditions.
  • Maintaining confidentiality regarding observations or viewpoints related to firm business is paramount.
