Job Description

Due to continued growth, a Bookkeeper/ Office Admin opportunity has arisen to support a boutique financial services business in Beverly, MA. This is a role that is designed for someone who is looking to secure their next role in a stable, high performing and collaborative office environment where discretion, intellectual curiosity and having the ability to roll up one's sleeves and get involved at all levels, is highly valued.

Main duties and responsibilities will include the following:

  • Support accounting with accounts payable and receipts
  • Help scan deposits to bank account and identify which trust accounts to credit
  • Assist with putting together excel spreadsheets for importing into accounting system
  • Organize files for private equity, disbursement backup and cash receipts for entry into accounting system
  • Assist with overseeing life insurance policies, which includes paying bills on time, tracking 1035 exchanges and help ensure that the accounting system is up to date with latest valuations
  • Bill pay in QuickBooks
  • Manage and maintain day to day office activities and provide general administrative support (ordering supplies, managing phone lines, copying, faxing, filing)
  • Oversee mailings, including sorting and distributing incoming mail, send outgoing mail, preparing packages
  • Serve as a liaison /in-house coordinator to the external contractors
  • Coordinate meeting logistics (Board meeting)
  • Help to maintain shared spaces (specifically reception, kitchen, conference room and supply room)
  • Help organize office lunches, summer outing, Christmas Party etc.

The Successful Applicant

In return for a competitive remuneration package, the successful candidate will possess the following:

  • Bachelor's degree or equivalent
  • 1-2+ years of prior bookkeeping and administrative experience
  • Excellent organization skills and attention to detail
  • Experience with office systems, including proficiency in Office 365
  • Ability to work independently and as part of a team.
