Job Description

  • Serve as the point of contact for corporate attorneys
  • Utilize the firm's Workflow Tool (Dashboard) to complete submitted requests
  • Collaborate with teams and mentors to promote a high level of client service and team building
  • Utilize spreadsheets (Excel) and basic formula calculations and formatting, including print area and print titles
  • Draft non-routine correspondence from brief notes or verbal instructions; type and prepare various documents, forms, correspondence, and memoranda utilizing Microsoft Office Suite (Word) and the document automation utility function
  • Proofread material for grammatical, typographical, spelling, and formatting errors
  • Perform preliminary conflicts checks; prepare conflict waiver letters and engagement agreements
  • Ensure compliance with the firm's protocols and procedures for filing (iManage), uploading documents, and correspondence to client Propel or Extranets; maintain client Propel or ShareRooms
  • Process check requests, invoices, and reimbursements utilizing Chrome River
  • Coordinate meetings and conference room planning, including technology and services needed; utilize Maptician and EMS to manage requests
  • Maintain attorney State Bar documentation and process MCLE forms
  • Prepare and review client bills for accuracy; edit client bills for content and grammar using Aderant and PreBill
  • Schedule messengers and other vendors for pick-up and delivery of documents
  • Arrange travel

  • Adhere to the firm/practice group(s) transactions, protocols, procedures and calendaring requirements, and New Business
  • Possess effective time management and strong organizational skills
  • Take initiative to learn and apply new skills and knowledge through attendance at all ongoing technical training and secretarial or department meetings
  • Ability to edit work for spelling and grammar, present numerical data effectively and interpret written information
  • Exercise discretion and independent judgment in resolving problems, recommend solutions as appropriate and/or work with the service departments to resolve issues
  • Strong attention to detail
  • Proactive, works well independently and as a team
