The Project Administrator supports project teams by coordinating documentation, facilitating communication, and managing key administrative functions throughout the lifecycle of multifamily and commercial construction projects. This role ensures accurate recordkeeping, smooth workflow between project stakeholders, and compliance with company processes and industry standards.

Job Description



Project Coordination & Communication

  • Serve as a primary administrative point of contact for project teams, subcontractors, and vendors.
  • Schedule and coordinate project meetings, prepare agendas, and distribute meeting minutes.
  • Assist with communication flow between office staff and field personnel on active projects.



Document Management

  • Maintain and organize project documentation including contracts, addendums, RFIs, submittals, change orders, and closeout packages.
  • Track and update logs in project management software (e.g., Procore, Buildertrend, CMiC, or similar).
  • Ensure project documents meet contract requirements and are distributed to relevant stakeholders in a timely manner.



Contract & Financial Administration

  • Assist in preparing subcontract agreements, purchase orders, and service contracts.
  • Track subcontractor insurance, lien waivers, compliance documents, and certifications.
  • Support project billing activities, including preparation of payment applications and review of subcontractor invoices for accuracy and required backup.
  • Monitor project budgets and assist with cost tracking assigned by the project manager.



Permitting & Compliance

  • Coordinate permit applications, inspections, and required government agency documentation for multifamily and commercial projects.
  • Ensure compliance with safety, insurance, and regulatory requirements throughout all project phases.



Project Start-Up & Close-Out

  • Support project onboarding activities including creation of project directories, initial logs, and distribution lists.
  • Prepare and assemble project closeout documentation such as O&M manuals, warranties, as-built drawings, and turnover packages.



Office & Administrative Support

  • Assist with data entry, file maintenance, and administrative processes that support multiple project teams.
  • Help maintain company standards for document formatting, branding, and workflow procedures.
  • Support procurement of materials or equipment for projects when needed.

The Successful Applicant



Required

  • 2-5 years of construction administrative experience
  • Strong organizational skills with the ability to manage multiple priorities across several concurrent projects.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and project management platforms (Procore, PlanGrid, Bluebeam, etc.).
  • Excellent written and verbal communication skills.
  • Strong attention to detail and a commitment to accuracy.



Preferred

  • Experience supporting construction teams working on multifamily and/or commercial building projects.
  • Familiarity with construction terminology, workflows, and documentation requirements.
  • Knowledge of AIA billing forms and typical subcontract agreement structures.
