Job Description

  • Timely administration regarding project subcontract work to include confirmation of monthly billing percentages and approval of subcontractor and vendor invoices.
  • Verify coded invoices from field
  • Maintain project records of Proposed Change Orders, Executed Change Orders, and updated schedules. Disburse Look Ahead schedules to subcontractors
  • Confer with supervisors, contractors, and designers to resolve matters such as work procedures, design challenges and construction challenges
  • Prepare cost tracking reports
  • Establish and maintain submittal schedule processing and transmitting submittal to owner representative and/or subcontractor/vendor
  • Prepare and maintain reports as delegated and supervised by Project Manager or Assistant Project Manager
  • Assist in Project Close-Out Process
  • Close-Out documents, post construction with field, accounting and estimating
  • Verify all sub insurance certificate and license information
  • Accounting duties: Confirm monthly billing percentages from subs, approve sub and vendor invoices and verify coded tickets from field
  • Order, track and scan all plans and files.
  • Any special projects as needed
  • Work closely with Project Manager to assure all Change Orders and RFIs are kept up with and distributed in a timely manner

The Successful Applicant

  • Experience working for an organization in the construction industry
  • Proficiency in Microsoft Word, Excel and Outlook is needed, and Timberline experience preferred.
  • General knowledge of materials, methods, and the tools involved in construction of commercial buildings
  • General knowledge of presentations, construction estimates, schedules and services
