Description
- Maintain calendars and contact lists in Outlook; update as needed
- Coordinate meetings, logistics, schedules, conference calls
- Coordinate travel arrangements
- Create and maintain paper and electronic files
- Assist with the development of PowerPoint presentations
- Type and edit correspondence and reports
- Answer phones, take messages and fulfill requests as necessary
- Respond to various verbal or email requests in a timely manner
- Coordinate Strat Comm NYC office events
- Select and coordinate catering for meetings and special events
- Collaborate with general manager for office functions
- Liaising with the support functions (HR, Finance, Marketing, IT, Workplace Experience Team) on internal processes and procedures.
- Manage and enter time in time entry system
- Expense reports (Chrome River software)
- Entry of new accounts, set-up of a new business task codes, conflict check and opening matters in Salesforce
- Basic review and knowledge of company contracts
- Assist with client invoice processing, vendor setups
- Create documents, reports, spreadsheets, and presentations using Microsoft Excel, Word, and PowerPoint
- Assist in research by efficiently conducting online searches and providing information requested in summary form
The Successful Applicant
- Bachelor's Degree required
- Minimum 3-5 years + of solid administrative support experience required
- 1-2 years of experience in a corporate/ law firm/ professional services firm or technology firm
- Capacity to multi-task, prioritize workload and effectively manage time
- Ability to work in fast-paced, deadline driven environment and able to respond to requests/needs in a timely manner
- Demonstrate professional and effective verbal and written communication skills
- Work effectively as part of a team when required; be flexible with independent tasks
- Ability to exercise discretion when dealing with confidential or sensitive matters
- Perform all tasks with attention to detail and review for accuracy.
- Maintain courteous, professional manner with internal and external stakeholders
- Flexible to work outside of standard hours (occasionally)
- Proficient in Microsoft Office application (Excel, Word, PowerPoint)
- Salesforce experience ideal
