Job Description

  • Provide a full range of secretarial and administration support to the Executive Directors in Client Solutions.
  • Proactively manage and maximize the effectiveness of the Executive Directors in Client Solutions and the extended leadership team.
  • Prepare daily folder with relevant documents for each meeting.
  • Support the Leadership Team and broader team as required.
  • Organize meetings and prepare agendas with relevant materials.
  • Attend Leadership Team meetings and other forums e.g. ABC to contribute and capture follow-up actions.
  • Prepare and review presentations, reports and other general documentation including highly confidential materials.
  • Organize extensive international and domestic travel for the ED's in Client Solutions, seek relevant approvals and prepare travel itineraries.
  • Maintain the Sidekick HR system with delegate access including; Position Management; Exiting staff; Leave Requests.
  • Process ED Client Solutions Corporate Credit Card expenses as well as the approval of all team expenses.
  • Monitor monthly finance expenditure and assist in the maintenance of budgets.
  • Manage gifts and entertainment submissions and call reports.
  • Arrange to have invoices processed and maintain record of spending approvals.
  • Prepare presentations and communications for external and internal customers.
  • Assist the Executive Directors for Performance Reviews, Calibration, Mandatory Learning.
  • On board new starters including; Sidekick HR; Security access; System access; Equipment and Materials.
  • Maintain effective working relationships across other Branch support roles to ensure seamless operation of the Branch operations.

The Successful Applicant

  • 5-7 years of experience as an Administrative Assistant in Banking, Finance, or Professional Services industry
  • Must be immediately available to begin a new role
  • Available to commute & work in Manhattan
  • *Full vaccination is required for this role*
  • Exceptional written and oral communication skills
  • Advanced Microsoft Office skills, PeopleSoft Financials, Sidekick HR, PeopleLink and CommSee
  • Flexibility and adaptability to juggle a range of different tasks and meet deadlines
  • Discretion and an understanding of confidentiality issues
