Job Description

Assist with overall administrative management of the office including but not limited to:

  • Manage facilities to ensure a clean, comfortable and safe work environment, manage office expenses, coordinate moves, etc.
  • Manage the Facilities team, which will be the cleaners, porters, and security personnel
  • Develop and oversee the implementation of Facility Management Services policies, procedures, and controls covering all areas of activity so that all relevant procedural/legislative requirements are fulfilled while delivering high-quality and cost-effective results
  • Ensuring the ongoing productivity and effectiveness of our office
  • Monitor day-to-day activities to ensure risk compliance with regulations, local state, federal, and landlord/building management requirements
  • Manage and ensure the provision of quality hospitality services for all staff, teams, and projects, and ensure a clean and healthy environment
  • Manage office workload in conjunction with utilization of the firm's administrative support services
  • Organize office events

The Successful Applicant

  • Bachelor's degree
  • 6+ years experience in facilities management, procurement, and executive support, ideally from a financial services firm
  • Great written and verbal communication skills
  • Self-starter, able to work independently with the ability to quickly resolve key issues with little oversight
  • Good problem-solving, critical thinking and decision-making skills
  • Exceptional organization, time management and multitasking abilities
  • Keen attention to detail
  • Thorough understanding of development, implementation, and budget management
  • Exceptional talent in negotiating and networking
  • Exceptional communication skills with the ability to foster strong supplier relationship
