The Legal Administrative Assistant will provide comprehensive administrative support to attorneys and legal staff within a big law setting. This role is based in San Francisco and requires excellent organizational skills and attention to detail to ensure seamless operations in a fast-paced environment.

About Our Client

This role is within an international AmLaw Top 20 firm with locations all over the US and internationally. This is newly opened, and will have less than 50 attorneys and staff but work closely with a 150 person office in Redwood City.

Job Description

  • Provide administrative support to attorneys, including scheduling meetings, managing calendars, and handling correspondence.
  • Prepare, edit, and proofread legal documents, ensuring accuracy and compliance with legal standards.
  • Coordinate travel arrangements, including flights, accommodations, and itineraries.
  • Assist with billing processes, including tracking time entries and preparing invoices.
  • Maintain and organize electronic and physical files, ensuring accessibility and confidentiality.
  • Serve as a liaison between attorneys, clients, and other staff members to facilitate communication and workflow.
  • Handle incoming calls, emails, and inquiries in a professional and timely manner.
  • Support special projects and perform other administrative tasks as needed.

The Successful Applicant

A successful Legal Administrative Assistant should have:

  • Strong organizational and time management skills with the ability to prioritize tasks effectively.
  • Proficiency in Microsoft Office Suite and other relevant software tools.
  • 5+ years of legal administrative experience, ideally within corporate law
  • Experience in a big law setting strongly preferred
  • Exceptional attention to detail and accuracy in all tasks.
  • Excellent communication and interpersonal skills to interact with various stakeholders.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Previous experience in a legal or professional services environment is preferred.
  • A proactive and adaptable approach to work in a fast-paced setting.
