Our client is seeking an Executive Assistant to support their Corporate Legal Department. As the Executive Assistant, you will support the Corporate Legal team with daily administrative duties and liaise with board directors. This role is permanent & is in-office 3 days per week.

Job Description

  • Support board of director meeting processes for two public companies
  • Acting as administrator of the board book portals
  • Assisting in schedule/agenda preparation
  • Coordinating board/committee materials for meetings
  • Corresponding with directors and their assistants
  • Preparing, distributing and tracking director & officer questionnaires, annual evaluations and surveys
  • Assisting in preparation of minutes
  • Maintain corporate books and records
  • Coordinate processing of department invoices, including coding, tracking project expenses, assisting in budgeting and accrual processes
  • Arrange execution of legal documents, including originals and via DocuSign
  • Coordinate travel arrangements
  • General administrative tasks for the legal department, including meeting coordination, maintaining calendars, organizing department files, word processing, proofreading, expense reports, maintaining department subscriptions, etc.

The Successful Applicant

  • 7+ years of corporate Executive Assistant support experience
  • Experience supporting a Legal team is preferred
  • Ability to maintain confidentiality and exercise sound judgment and discretion
  • Microsoft Office Suite (including Word and PowerPoint) required
  • Board portal software, Basware (or other accounts payable software), and DocuSign experience preferred; ability to learn new electronic platforms quickly
  • Excellent attention to detail and process; strong organizational, interpersonal, communication and writing skills
  • Proactive and able to work independently on routine projects and collaborate on complex matters as necessary; team-oriented mindset and strong work ethic; ability to multitask
