Job Description

Assist with overall administrative management of the office including but not limited to:

  • Manage facilities to ensure a clean, comfortable and safe work environment, manage office expenses, coordinate moves, etc.
  • Assist in hiring and on-boarding of professional Staff
  • Ensuring the ongoing productivity and effectiveness of our office
  • Monitor administrative staff work flow, vacation, sick and leave time
  • Support and manage reception
  • Manage office workload in conjunction with utilization of the firm's administrative support services
  • Organize office events
  • Respond to and support administrative and filing requests from other offices

The Successful Applicant

  • Bachelor's degree
  • 3+ years experience in office administration, facilities management, procurement, and executive support, ideally from a financial services firm
  • Great written and verbal communication skills
  • Self-starter, able to work independently with the ability to quickly resolve key issues with little oversight
  • Good problem-solving, critical thinking and decision-making skills
  • Exceptional organization, time management and multitasking abilities
  • Keen attention to detail
  • Thorough understanding of development, implementation, and budget management
  • Exceptional talent in negotiating and networking
  • Exceptional communication skills with the ability to foster strong supplier relationship
