About Our Client

This client is a REIT that specializes on high end, commercial creative office spaces. All of their work is based in Los Angeles.

Job Description

  • Provide administrative support, including phone support, distribution of correspondence, expense reporting, scheduling, meeting coordination, filing, and copying, etc.
  • Maintain purchase orders in accordance with prescribed standards
  • Assist with managing workflow of maintenance request
  • Assist in organization of lease administration activities, including lease and database support
  • Maintain file organization, including leases and contracts in an orderly and logical manner
  • Prepare and coordinate vendor bid proposals and service contracts
  • Ensure tenant information within data base is current and up to date
  • Assist with Certificate of Insurance compliance for tenants and vendors under supervision of PM
  • Oversee maintenance staff hours, expense reports and mileage for review and approval
  • Assist in processing tenant bill backs for utilities and other direct charges
  • Assist with aspects of annual budget preparation including researching costs and obtaining bids as directed
  • Responsible for regular inspections of properties with vendors as directed by manager
  • Participate in performance oversight of all vendor service contracts
