Our client is a Developer with over 50 years in the Real Estate and Development industry. They focus mainly on multifamily projects, but also some commercial.

Job Description

Project Planning and Coordination:

  • Drive end-to-end coordination of development, construction and interior design projects, ensuring alignment with timelines, budgets, and quality standards.
  • Utilize Procore and advanced project management tools to develop schedules, monitor progress, and proactively mitigate risks.
  • Facilitate stakeholder communication by organizing meetings, preparing agendas, and documenting actionable outcomes.
  • Facilitate the application and approval process for all regulatory development and building permits.
  • Oversee and manage critical documentation processes-including RFIs, submittals, change orders, and progress reports-ensuring accuracy and adherence to legal and safety requirements.
  • Provide peer review of product data and submittals for accuracy, conformance, and completeness
  • Collaborate with accounting and leadership to develop and maintain project budgets, ensuring financial accuracy



Financial Administration

  • Collaborate with accounting and leadership to develop and maintain project budgets, ensuring financial accuracy and transparency.
  • Review and process invoices, pay applications, and related documentation in alignment with company policies and timelines.
  • Track project-related expenses, monitor variances, and provide regular financial reports to support informed decision-making.
  • Maintain and update project budgets using advanced Excel functions (pivot tables, VLOOKUP) for precise financial control.
  • Prepare and manage AIA contract documents and ensure accurate supporting documentation of change orders throughout the project lifecycle.
  • Support Yardi data entry and ensure proper cost coding.



Procurement and Logistics

  • Lead procurement operations by issuing purchase orders, verifying billing accuracy, and ensuring timely delivery of materials and equipment.
  • Collaborate with accounting to maintain accurate purchase order records and financial documentation.
  • Coordinate logistics for equipment and supplies, aligning delivery schedules with project timelines, and resolving supply chain challenges.
  • Manage vendor relationships, maintain a comprehensive vendor database, and oversee account applications and compliance documentation.
  • Monitor procurement budgets, track spending, and report variances to maintain financial accountability.

The Successful Applicant

  • Bachelor's degree in business administration, project management, construction management, or related field (preferred).
  • Minimum 2+ years of experience in project coordination or construction administration; sitework, multifamily and / or mixed-use experience preferred.
  • Proficiency in Microsoft Office Suite with advanced Excel skills (pivot tables, VLOOKUP).
  • Proficiency in Procore project management software.
  • Experience with AIA contract document administration.
  • Strong organizational, communication, and problem-solving abilities.
  • Ability to read and interpret construction drawings and technical specifications.
