Job Description

  • Provides administrative support to the departments by providing reception services, scheduling appointments and meetings, acting as a travel coordinator, paper and increasingly electronic document control and filing, researching files and records, and composing, formatting, preparing and distributing routine correspondence and other documents as requested

  • Represents the departments as the first point of contact for visitors; responds to requests and questions from members of the community, industry, international visitors, executives, and the community.

  • Serves as focal point for communications for the departments, including answering telephones and responding to emails. Screens incoming correspondence and communications to determine who can supply needed information; answers questions and inquiries.

  • In coordination with the Department Chairs, schedules departmental meetings, manages logistics, prepares and distributes agendas and materials, attends meetings and takes minutes, facilitates and maintains records of faculty votes.

  • Assists Department Chairs by conducting research and gathering data from a variety of sources to aid in accreditation activities, creates reports and other information as needed. Maintains confidential files and correspondence, assists with designing and producing brochures and materials for departmental events, meetings, programs and mailings in compliance with university and departmental policies and procedures. Receives and distributes USPS, campus and express mail and packages for the departments. Make arrangements for maintenance or repair of equipment, including but not limited to copy machines, printers, faxes, LCD projectors, and scanners to ensure proper operation at all times.

  • In collaboration with the Lab Manager, ensures lab facilities are meeting needs for departments.

  • Assist in the planning and coordination of events for faculty, visitors and students. The functions may include room reservation and securing necessary equipment, catering, preparing flyers, booking travel for visitors, creating itineraries for the visitors, and serving as the on-site contact for visitors during the duration of their visit.

  • Knowledge and understanding of higher education organization, goals and objectives, and policies and procedures.

  • Ability to work effectively with internal and external administrative offices to ensure that required procedures and controls are in compliance.

  • Demonstrated ability handling multiple time driven tasks with little supervision and working under pressure to meet deadlines while exercising considerable latitude for the use of initiative and independent judgement.

  • Ability to maintain a professional demeanor with a high degree of tact and confidentiality when communicating with individuals during sensitive, formal, or urgent situations.

  • Demonstrated ability in learning new skills quickly, accepting increasing levels of responsibility and identifying and resolving problems in a timely manner.

  • Demonstrated ability to take initiative in working both independently and in cooperation with others.

  • Exhibit excellent communication skills, attention to details, and be solution oriented. Excellent skills in writing clear, concise, and grammatically correct correspondence. Ability to proofread, gather data, analyze and write concise reports; speak clearly and distinctly in order to convey information.

  • Advanced proficiency with modern tools including but not limited to Microsoft Office, including Word, Excel, Publisher, Outlook and PowerPoint, Adobe Acrobat Pro, cloud- based resources and storage, electronic filing systems, and Internet search tools.

  • Remains current by attending professional development courses, software training classes, and other courses and training sessions.
