About Our Client

Our client is an established commercial real estate and construction organization that specializes in commercial, retail, restaurant, and mixed-use projects up to $5M in value. They have in-house architects, a construction team, and property management group.

Job Description

  • Provide administrative support to pre-construction, development, and construction teams.
  • Answer and direct incoming telephone calls, emails, and general inquiries.
  • Communicate professionally with subcontractors, vendors, suppliers, and project partners.
  • Coordinate meetings, calendars, site visits, and project-related appointments.
  • Assist with bid invitations, proposal tracking, and subcontractor outreach.
  • Maintain organized project files, documentation, and electronic records.
  • Prepare correspondence, reports, meeting notes, and spreadsheets.
  • Track project milestones, deadlines, and outstanding action items.
  • Support contract administration by ensuring required project documentation is complete and properly filed.
  • Update internal databases, project management systems, and contact records.
  • Facilitate communication between office teams, field personnel, subcontractors, and stakeholders.
  • Perform additional administrative and office support duties as required.

The Successful Applicant

  • Associate's or Bachelor's Degree preferred
  • Previous administrative, customer service, office support, or coordinator experience is a plus.
  • Strong verbal and written communication skills.
  • Proficiency with Microsoft Office Suite (Outlook, Word, Excel, and Teams).
