About Our Client

This small, privately owned construction contracting company does work with Universities and within the private sector across NY and NJ. There are 15 people in their NY office. This is an onsite position in Midtown, Manhattan.

Job Description

  • Provide administrative support to ensure efficient operation of the office.
  • Support Project Managers with the backend work to prepare for bids (information gathering, paperwork, filing).
  • Coordinate and schedule meetings, appointments, and events.
  • Prepare and edit correspondence, reports, and presentations as needed.
  • Maintain and organize files, records, and documentation.
  • Handle incoming calls, emails, and communications professionally.
  • Assist with travel arrangements and expense reporting.
  • Monitor and manage office supplies and inventory.
  • Collaborate with team members to support various projects and tasks.

The Successful Applicant

A successful Administrative Assistant should have:

  • Strong organizational and multitasking skills to manage diverse responsibilities effectively.
  • Excellent written and verbal communication skills.
  • Ability to work independently and within a team environment.
  • A proactive approach to problem-solving and attention to detail.
  • Prior experience in construction/contracting is strongly preferred, but not required.
