Job Description

This Customer Service Representative will own the order management process from purchase order receipt through fulfillment, acting as the key liaison between customers and internal teams to ensure orders are processed accurately, delivered on time, and issues are resolved quickly. As the client continues to grow through acquisitions, this person will support an expanding product portfolio while contributing to process improvements, maintaining data integrity, and collaborating closely with Sales, Operations, Supply Chain, Finance, and Production teams in a highly team-oriented environment.

Key Responsibilities

  • Manage the full order lifecycle, processing customer purchase orders through CRM/ERP systems and coordinating orders from entry through shipment, delivery, and installation.
  • Serve as the primary customer contact, responding to inquiries regarding order status, pricing, products, shipping, account information, and general support requests.
  • Resolve customer issues and exceptions, including shipment delays, billing questions, returns, replacements, credits, and order discrepancies with urgency and professionalism.
  • Partner cross-functionally with Sales, Supply Chain, Production, Shipping, Operations, Finance, and Service teams to ensure accurate order fulfillment and a positive customer experience.
  • Maintain accurate system data within Salesforce, NetSuite, and other business systems, including customer records, orders, quotes, pricing, and account information.
  • Support continuous improvement initiatives by identifying workflow efficiencies, helping onboard new product lines from acquisitions, and contributing to a collaborative, team-focused customer service environment.

The Successful Applicant

  • Associate degree or coursework in Business, Supply Chain, Operations, or a related field preferred; high school diploma or equivalent required.
  • 3+ years of experience in customer service, order entry, sales support, administrative support, or commercial operations.
  • Proven experience managing customer orders, order processing, shipping coordination, and issue resolution in a fast-paced environment.
  • Strong attention to detail with the ability to accurately maintain customer, order, pricing, and account information.
  • Experience utilizing CRM and ERP systems; Salesforce experience preferred and NetSuite experience is a plus.
  • Proficiency with Microsoft Office, particularly Outlook, Excel, and Word.
  • Excellent written and verbal communication skills with the ability to interact professionally with customers and internal stakeholders.
  • Ability to prioritize multiple tasks, manage competing deadlines, and maintain a high level of accuracy.
  • Collaborative, team-oriented mindset with a willingness to work cross-functionally across Sales, Operations, Supply Chain, Finance, and Production.
  • Demonstrated ownership of customer issues and commitment to delivering exceptional customer service.
  • Experience in manufacturing, life sciences, healthcare, distribution, or other operationally focused environments preferred.
  • Exposure to international shipping, exports, distribution partners, or global order management is a plus.
