Job Description

Accounts Payable Specialist

  • Review and verify invoices, purchase orders, and expense reports for accuracy and proper authorization.
  • Accurately enter invoices and payment transactions into the accounting system in a timely manner.
  • Maintain vendor records and serve as a point of contact for vendor inquiries.
  • Process payments through checks, ACH, wire transfers, and other approved payment methods.
  • Reconcile vendor statements and investigate discrepancies to ensure accurate account balances.
  • Prepare accounts payable reports and provide information for management review.
  • Assist with month-end and year-end close activities related to accounts payable.
  • Ensure compliance with company policies, accounting procedures, and applicable financial regulations.
  • Partner with internal departments to resolve invoice, payment, and documentation issues.
  • Maintain organized records of accounts payable transactions for audit and compliance purposes.
  • Support internal and external audits by providing required documentation and financial records.
  • Assist with additional finance and accounting projects as needed.

The Successful Applicant

A successful Accounts Payable Specialist should have:

  • High school diploma or equivalent.
  • Strong attention to detail with a high level of accuracy in financial data processing.
  • Understanding of basic accounting principles and accounts payable procedures.
  • Proficiency with accounting software and Microsoft Office, particularly Excel.
  • Strong organizational and time management skills with the ability to manage multiple priorities.
  • Effective communication skills for working with vendors and internal stakeholders.
  • Ability to work independently and collaboratively within a team environment.
  • Ability to maintain confidentiality and handle sensitive financial information appropriately.
  • Reliable attendance and a strong sense of accountability.
  • Ability to follow company policies and comply with applicable legal and regulatory requirements.



Preferred Qualifications

  • Associate's or bachelor's degree in Accounting, Finance, or a related field.
  • Previous accounts payable experience or experience in a related accounting or finance function.
  • Experience supporting month-end close activities and audit processes.
