The Administrative Assistant will play a key role in supporting the daily operations of 2 Managing Directors and overall office administration. This role involves managing schedules, coordinating communications, handling travel and ensuring the efficient flow of information. This role is on-site Monday through Friday in Midtown and requires a completed Bachelors Degree.
  • Must have 3-5 years of experience as an Assistant or Office Manager.
  • Must be able to work on-site in Manhattan.

Job Description

  • Manage and maintain schedules, appointments, and calendars for 2 executives.
  • Oversee office logistics: ordering supplies, catering, pantry items, etc.
  • Assist with Reception support (as needed).
  • Partner with other Administrative Assistants in the office with backup support and general administrative support.
  • Coordinate and prepare meeting materials, agendas, and minutes.
  • Handle correspondence, including emails, phone calls, and mail, ensuring prompt and professional communication.
  • Organize and maintain files, records, and documents for easy access and retrieval.
  • Assist in planning and executing department events or team activities.
  • Support project coordination by tracking progress and ensuring deadlines are met.
  • Monitor and order office supplies, ensuring availability for smooth operations.
  • Perform other administrative tasks as assigned to support the department's needs.

The Successful Applicant

  • Must have 3 - 5 years of administrative experience, financial industry preferred
  • Strong interpersonal, communication, and problem-solving capabilities
  • Strong organizational skills, attention to detail, and ability to prioritize
  • Working knowledge of Microsoft Office suite, including Outlook, Word, and PowerPoint
  • Must be able to lift and move up to 20 pounds at times
  • Completed Bachelor's Degree is required
  • Hours: 8:00am-5:15pm,
    • Willing and available to provide support nights and/or weekends on occasion as needed
    • Overtime eligible
    • Compensation: Base salary plus discretionary bonus. Non-Exempt Position
