Schedule: 4 days in office, 1 day remote

Job Description

Executive & Administrative Support

  • Provide comprehensive calendar management and scheduling support
  • Coordinate meetings, travel arrangements, and expense reporting
  • Prepare presentations, reports, and correspondence
  • Manage confidential information with discretion and professionalism



Office Management

  • Oversee day-to-day office operations and maintain an organized workplace
  • Serve as the primary point of contact for vendors, building management, and office services
  • Coordinate office supplies, equipment, and facilities needs
  • Assist with planning team meetings, events, and company gatherings



Operations & Project Coordination

  • Support special projects and cross-functional initiatives
  • Track deadlines and ensure timely completion of key administrative tasks
  • Improve processes and identify efficiencies where appropriate



Marketing & Business Support

  • Assist with marketing materials, presentations, and client communications
  • Coordinate website, social media, and marketing collateral updates
  • Support event planning, conference logistics, and outreach efforts
  • Help maintain contact databases and business development materials

The Successful Applicant

A successful Administrative Assistant/Office Manager should have:

  • 3+ years of experience in an Administrative Assistant, Executive Assistant, Office Manager, or similar role
  • Exceptional organizational and time-management skills
  • Strong written and verbal communication abilities
  • Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint
  • Ability to manage confidential information with professionalism
  • Experience supporting senior executives is preferred
  • Exposure to marketing, event coordination, or business development activities is a plus
  • Self-starter who is adaptable, resourceful, and comfortable working independently
