Job Description

The Bid Coordinator will be responsible for:

  • Supporting multiple bids and estimates across pre‑construction activities
  • Preparing, organizing and submiting complete and competitive bid packages
  • Drafting, tracking and managing pre‑bid RFIs and associated documentation
  • Coordinating bid walks, subcontractor walks, meetings and submissions
  • Maintaining organized bid files, logs, drawings and document control
  • Assisting with take‑offs to validate quantities and scope coverage
  • Soliciting and tracking subcontractor and supplier pricing
  • Communicating with clients, consultants, subcontractors and internal teams
  • Coordinating proposal creation and submissions with marketing
  • Supporting project handover from estimating to project management
  • Maintaining and updating subcontractor database and pre‑qualification records

The Successful Applicant

A successful Bid Coordinator should have:

  • Minimum 2 years of administrative or coordination experience
  • Prior exposure to construction, design, or project‑based environments preferred
  • Strong organization, time management and attention to detail
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office and PDF editing tools (Bluebeam/Adobe)
  • Willingness to learn estimating and bidding platforms such as BuildingConnected and On‑Screen Take‑Off
  • Ability to manage multiple deadlines in a fast‑paced environment
