About Our Client



They are now looking to hire a Contracts and Grants Accounting Manager to support the finance function and oversee grants administration, vouchering, budgeting, and compliance activities across city, state, and federal funding sources.

This role reports directly into the Controller and sits within the Grants and Contracts division alongside a broader accounting and finance team. The successful candidate will play a key role in managing complex government grants while partnering closely with Program, Development, and Operations teams. The role is primarily office-based in Manhattan (Harlem) with flexibility for 1 remote day once established in the position. They are ideally looking for a candidate with prior experience within companies that are Not For Profit and Charities.

Job Description



The successful Contracts and Grants Accounting Manager will:

  • Manage daily voucher processing for government grants and contracts
  • Oversee grants administration across city, state, and federal funding sources
  • Ensure timely and accurate voucher submissions through various agency portals
  • Work closely with funders and agencies including DYCD, Department of Health, and OTDA
  • Monitor grant spending to ensure compliance with funder requirements and internal policies
  • Develop and maintain grants and contracts calendars to track reporting deadlines and deliverables
  • Partner with Program and Development teams on grant budgeting and budget modifications
  • Conduct monthly financial review meetings with Program leads
  • Support annual budgeting processes through financial analysis and recommendations
  • Assist with annual audits including A133 and other compliance-related audits
  • Manage Accounts Receivable processes and oversee collections activities
  • Review journal entries, vouchers, and financial documentation for accuracy and compliance
  • Supervise a Grants and Contracts Specialist/Junior Associate
  • Respond to funder inquiries and resolve discrepancies or compliance issues
  • Collaborate cross-functionally with Food Programs, Operations, Development, and Finance teams
  • Support grant-related reporting on a monthly, quarterly, and annual basis
  • Assist with broader accounting functions and finance initiatives as required

The Successful Applicant



The successful Contracts and Grants Accounting Manager will have:

  • Bachelor's degree in Accounting, Finance, or related field
  • 3+ years of relevant grants and contracts accounting experience
  • MUST have prior experience managing government grants and vouchers
  • Experience working with agencies such as DYCD, Department of Health, OTDA, or similar entities
  • Strong understanding of city, state, and federal grant funding processes
  • Hands-on experience with voucher submission portals including HHS, SFS, Passport, or similar systems
  • Solid accounting and financial reporting foundation
  • Experience with grant budgeting, budget modifications, and expense allocations
  • Prior experience partnering with Programs and Development teams
  • Supervisory or leadership experience preferred
  • Strong technical skills including Microsoft Excel and financial systems
  • Experience within non-profit organizations highly preferred
  • Familiarity with FUND EZ is a plus
