Job Description

  • Provide administrative support to the CEO, including calendar management, meeting coordination, and scheduling.
  • Serve as backup support for executive leadership when primary Executive Assistants are unavailable.
  • Coordinate internal and external meetings, including logistics, materials, and follow-up actions.
  • Screen and prioritize incoming communications and requests.
  • Arrange travel, accommodations, and itineraries as needed.
  • Prepare presentations, reports, correspondence, and other executive materials.
  • Manage expense reporting and administrative documentation.
  • Support special projects, events, and cross-functional initiatives.
  • Maintain confidential and sensitive information with a high degree of professionalism.
  • Build strong relationships with internal stakeholders and external partners.

The Successful Applicant

A successful Executive Administrative Assistant to CEO should have:

  • Previous experience in an administrative, executive assistant, or coordinator role supporting senior leadership.
  • Strong organizational and time-management skills with the ability to manage competing priorities.
  • Excellent written and verbal communication abilities.
  • Proven ability to handle sensitive and confidential information.
  • Highly detail-oriented with strong problem-solving skills.
  • Proficiency in Microsoft Office Suite, including Outlook, PowerPoint, Excel, and Word.
  • Comfortable working independently while collaborating across teams.
  • Adaptable, resourceful, and able to thrive in a fast-paced environment.
  • Experience within education, non-profit, or mission-driven organizations is advantageous.
