The Order Management Coordinator is responsible for the day-to-day management and execution of customer orders from receipt through delivery and invoicing. This role will manage both EDI and manual orders within SAP S/4HANA, proactively resolve order exceptions, and partner cross-functionally to ensure orders are processed accurately and on time.

Our client is a well-recognized personal care brand with a HQ in New York City.

The team are in the office 3 times per week in Midtown Manhattan.

Job Description

  • Manage customer orders from receipt through fulfillment, delivery, and invoicing.
  • Receive, review, and process EDI and manual customer purchase orders.
  • Create, maintain, and manage sales orders in SAP S/4HANA Public Cloud.
  • Review SAP incompletion logs and resolve issues related to pricing, customer/master data, material data, delivery dates, shipping information, and other required fields.
  • Validate customer pricing, quantities, requested delivery dates, ship-to information, and other requirements against customer purchase orders.
  • Manage order changes, cancellations, and customer requests.
  • Monitor inventory availability and partner with Planning and Supply Chain teams to resolve shortages and supply constraints.
  • Manage order exceptions, including substitutions, pricing discrepancies, delivery blocks, freshness requirements, and customer-specific requirements.
  • Proactively monitor open orders and identify risks that could impact customer service, revenue, or on-time delivery.
  • Identify system issues and escalate potential SAP or EDI defects.
  • Participate in SAP testing, system enhancements, and process improvement initiatives as needed.

The Successful Applicant

  • 1-2+ years of experience in Order Management, Customer Service, Sales Operations, Customer Supply Chain, or Logistics.
  • Hands-on SAP S/4HANA experience is required.
  • Experience managing EDI and manual customer orders preferred.
  • Working knowledge of EDI transactions is a plus.
  • Strong attention to detail and ability to identify and resolve order discrepancies.
  • Strong organizational, analytical, and problem-solving skills.
  • Ability to manage multiple customers, orders, and priorities simultaneously.
  • Strong written and verbal communication skills.
  • Proficiency in Excel and Microsoft Office.
  • Experience with retailers, 3PLs, or consumer products companies preferred.
  • Beauty, retail, or CPG experience is a plus.
  • Bachelor's degree preferred or equivalent relevant experience.
