Job Description

  • Manage complex calendar coordination and high-volume interview scheduling across multiple teams and stakeholders
  • Serve as a primary point of contact for candidates throughout the interview process, providing timely and professional communication
  • Coordinate in-person interview days, including room bookings, scheduling adjustments, catering arrangements, and candidate hospitality
  • Support recruiting events, campus programs, internship initiatives, and networking functions by coordinating logistics and vendor relationships
  • Process expense reports, candidate reimbursements, invoices, and vendor payments
  • Maintain accurate records and documentation within recruiting and HR systems
  • Partner closely with recruiters, hiring managers, external agencies, and vendors to ensure recruiting processes run smoothly

The Successful Applicant

  • Bachelor's degree required
  • 5+ years of experience in an Administrative Assistant, Executive Assistant, Recruiting Coordinator or similar support role
  • Experience supporting multiple stakeholders in a fast-paced corporate environment
  • Strong calendar management and scheduling experience
  • Proven ability to manage competing priorities and tight deadlines
  • Strong interpersonal skills and professional presence
  • Experience coordinating meetings, events, travel arrangements, and logistics
  • Ability to handle confidential information with discretion and professionalism
  • Experience with ATS platforms or HR systems is a plus, but not required
