Job Description

  • Prepare, proofread, and format legal documents, correspondence, and presentations with accuracy and attention to detail.
  • Manage calendars, schedule appointments, and coordinate meetings for attorneys and other legal staff.
  • Handle incoming calls, emails, and mail, ensuring timely responses and follow-ups.
  • Maintain and organize client files, both physical and digital, in compliance with company policies.
  • Assist with billing processes, including preparing invoices and tracking payments.
  • Coordinate travel arrangements, including booking flights, accommodations, and transportation.
  • Support legal professionals with research and preparation for client meetings and court appearances.
  • Ensure confidentiality and security of sensitive client information at all times.
  • On-site leadership of support staff for questions, procedures, policies, compliance and office efficiencies.
  • Assist in the coordination of events such as Professional Advisors receptions, client seminars, dinners and office celebrations.

The Successful Applicant

A successful Legal Secretary should have:

  • Business Administration degree preferred but not required.
  • Experience managing an office environment.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint.
  • Strong organizational and multitasking abilities to manage multiple priorities effectively.
  • Excellent written and verbal communication skills.
  • Familiarity with legal terminology and procedures is preferred.
  • A high level of discretion and professionalism when handling confidential information.
  • Ability to work collaboratively in a team-oriented environment.
