Job Description

  • Serve as the face of the office, creating a professional and welcoming experience for visitors, clients, and employees.
  • Manage the main phone line, directing calls and handling inquiries with professionalism and discretion.
  • Coordinate visitor logistics, including guest registration, security clearances, room setup, and hospitality arrangements.
  • Prepare conference rooms for meetings, including catering coordination, beverage setup, and ensuring spaces are presentation-ready.
  • Receive and distribute mail, packages, and deliveries while communicating with the appropriate recipients.
  • Maintain reception, conference rooms, kitchens, and other shared spaces to ensure a polished office environment.
  • Monitor inventory levels and assist with ordering and restocking office and kitchen supplies.
  • Provide administrative support to various teams and assist with special projects as needed.
  • Partner closely with office operations and facilities personnel to support day-to-day office functions.
  • Handle multiple priorities in a fast-paced environment while maintaining exceptional attention to detail and customer service.

The Successful Applicant

A successful Receptionist should have:

  • 1-2 years of experience in a professional office environment.
  • Exposure to professional services, financial services, legal, consulting, or a similar corporate setting.
  • A polished, professional presence and strong interpersonal skills.
  • Excellent verbal and written communication abilities.
  • Strong organizational skills and exceptional attention to detail.
  • Proficiency with Microsoft Office Suite, including Outlook, Word, and Excel.
  • The ability to multitask, prioritize responsibilities, and remain composed in a fast-paced environment.
  • A proactive, team-oriented approach and willingness to assist across departments.
  • Strong customer service skills and a commitment to creating a positive visitor experience.
  • Reliability, punctuality, and a strong professional work ethic.
