Job Description

  • Plan and execute a range of events including conferences, seminars, round tables, retreats, receptions, dinners, and client appreciation program's.
  • Manage the full event life cycle, including venue sourcing, contract negotiations, transportation, catering, audio visual requirements, invitations, attendee management, onsite logistics, and post-event follow-up.
  • Coordinate and oversee onsite execution of high-profile and large-scale events.
  • Build and maintain relationships with venues, suppliers, and event partners.
  • Collaborate with senior stakeholders and internal teams to develop events aligned with business development and client engagement objectives.
  • Research and recommend venues, primarily within the Washington, DC market and surrounding areas.
  • Negotiate favorable commercial terms with vendors and venues.
  • Manage electronic invitations, RSVP tracking, guest communications, and event databases.
  • Support annual flagship meetings, internal development programs, and client entertainment initiatives.
  • Maintain event calendars, reporting tools, and activity tracking systems.

The Successful Applicant

A successful Specialist, Events should have:

  • Bachelor's degree or equivalent experience.
  • Minimum six years of professional event planning experience.
  • Experience within legal, financial services, consulting, or another professional services environment preferred.
  • Strong project management and organizational skills with exceptional attention to detail.
  • Excellent written and verbal communication abilities.
  • Proven ability to manage multiple priorities and deadlines simultaneously.
  • Comfortable interacting with senior stakeholders and maintaining confidentiality.
  • Experienced in vendor management, contract negotiation, and budget oversight.
  • Advanced Microsoft Office skills, particularly Outlook, PowerPoint, Excel, and Word.
  • Familiarity with CRM and event management platforms is advantageous.
  • Flexible to support evening events and occasional extended working hours.
