Job Description

    • Manage complex executive calendars and prioritize scheduling needs
    • Coordinate travel arrangements (flights, hotels, transport) and prepare detailed itineraries
    • Ensure leaders are fully prepared for meetings with necessary materials and logistics
    • Serve as a point of contact and greet external visitors to the office
    • Coordinate meetings and video calls across multiple time zones
    • Support internal and external events, including team meetings, strategy sessions, and town halls
    • Handle sensitive and confidential information with discretion
    • Adapt quickly to schedule changes and solve problems as they arise
    • Create and edit presentations and reports using Microsoft Office and Adobe
    • Process expenses, gifts, and entertainment records through internal systems
    • Maintain strong relationships with executives and administrative teams
    • Provide ad hoc administrative, reception, and coordination support as needed

The Successful Applicant

A successful Administrative Business Partner / Lead should have:

    • 7+ years of corporate administrative or executive support experience
    • Highly organized with strong attention to detail and ability to manage multiple priorities
    • Proactive and forward-thinking, with the ability to anticipate needs and take initiative
    • Strong communication skills, both written and verbal, with high emotional intelligence
    • Professional, discreet, and trustworthy when handling sensitive and confidential information
    • Calm under pressure with the ability to adapt quickly to changing priorities
    • Collaborative team player with a positive, can-do attitude
    • Strong problem-solving skills and ability to think on their feet
    • Tech-savvy, with proficiency in Outlook, Microsoft Office, and expense/travel systems (Concur preferred)
    • Committed, reliable, and service-oriented with a strong work ethic
